Terms and Conditions

Please note that by confirming your booking, you acknowledge that you agree
to the terms and conditions on this page. If you have any issues with the terms
and conditions please let us know as soon as possible.

Booking

  • Booking Confirmation - After you make the initial enquiry, I will get in touch to confirm your booking. All required sections of the booking form must be properly filled out. Sending the booking form does not mean your booking is automatically confirmed. Your booking is only secured once I have responded, confirming it in my calendar, and issued you a reference number. Make sure that your booking is confirmed, or no one will show up to your event and/or your slot may be given to another enquiry.

  • Booking Priority - If your booking is not confirmed and another enquiry comes through for the same time, priority will go to the first client who completes confirmation. I will do my best to accommodate both parties if timeframes are flexible.

  • Minimum Time Slots - The minimum booking time is 1 hour. Events must be spaced at least 1 hour apart to allow for travel, set-up, and pack-down.

  • Final Confirmation - A final confirmation email will be sent out the day before the event. You must reply up to 2 hours before your start time. Failure to reply to the confirmation will be treated as a cancellation.

Changes & Cancellation

  • Promptness - Please inform me of any changes to your booking as soon as possible. Some requests may not be possible due to clashes with other clients, but I will try to find a workable alternative.

  • Deadline - Changes can be made up until the day of the event (subject to availability). Same-day requests may not be seen due to prep.

  • Cancellation - Please notify me immediately if you need to cancel. Cancellations on the day should be made as early as possible to ensure as the 2 hours prior to your event are used for preparation and are considered part of the booking.

  • Rescheduling - If you wish to rebook after cancelling, I will do my best to find a new suitable date.

  • Failure to Comply - If you cancel on the day without notice, I reserve the right to decline future bookings. Exceptions will be made for sudden illness, bad weather, emergencies, or natural disasters where notice is not possible.

  • Cancellation on My End - In the rare case I need to cancel due to illness or emergency, I will notify you as soon as possible.

Pricing & Payment

  • Fixed Pricing - All pricing is at a fixed hourly rate and is not negotiable.

  • Payment Timeframe - Payment is due in full on the day of the event by cash or bank transfer, unless an invoice is requested. I do not accept pre-payment to protect against last-minute cancellations.

  • Invoices - Available upon request. Please use your booking reference when making bank transfers and pay promptly.

  • No Pay-Per-Face - I do not work on a 'pay-per-face' basis. Event organisers are charged at the hourly rate. However, organisers may set their own per-face fee for patrons if they provide a collection method.

  • Charity Events - Charged at the standard hourly rate. Organisers may collect additional donations for their cause. But please provide a collection bucket that will be returned at the end of the event, and/or a sign with a donation link.

Communication

  • Email - All communication must be made via email or chat through the Crafty Khaos website to ensure a written record.

  • Phone - My phone number is not public and will not be given out. If you already have it, please avoid calling or texting except in emergencies.

 During the Event

  • Set-up Time - I will arrive around 15 minutes before the event (or up to an hour for larger events) to set up. This includes greeting you, finding set-up location, unloading equipment (I may need assistance due to chronic injury), and setting up. I will always aim to be ready to paint at the agreed start time. If I am late due to unforeseen issues, I will make up the time.
At public events with early set-up, I will not begin before the booked start time.

  • Set-up Location - The organiser must provide a safe, shaded, stable, and accessible workspace with space for my 120cm table and two chairs. The area should be well-lit but not in direct sun, and sheltered from rain or wind. Because paints are water-based, painting is not suitable in rain or alongside water activities.

  • Health and Safety - I will not paint anyone with visible skin conditions, open wounds, or who appear unwell. For hygiene reasons, I do not paint around mouths or under noses.

  • Allergies - I use professional, makeup-grade skin-safe paints. However, it is the responsibility of parents/individuals to inform me of allergies or sensitivities. A small patch test can be done if needed.

  • Refusal of Service - I reserve the right to refuse service to anyone behaving inappropriately, aggressively, unsafely, or disrespectfully.

  • Design Adjustments - Designs may be limited or simplified depending on guest numbers, time, or space. Colour swaps are usually possible.

  • Unwilling Children - I will not paint any child who does not want to be painted. I will do my best to gently encourage children who are shy, uncertain or have sensory issues, by easing them into it, or paint something simple on their hands. But if that does not work I will never force them. Infants/toddlers who cannot sit still or are crying/distressed will not be painted.
Please respect that face painting is meant to be fun, not stressful.

  • Who Can Get Painted - I am happy to paint adults as well as children, provided they are well. Children will always be prioritised.
Public event organisers, please confirm whether painting is open to everyone or limited to children.

Photography

  • Your Rights - I will always ask consent of the parent or child before taking any photos for personal reference or portfolio and promotional purposes. I may request you fill in a media release form.
Consent can be revoked at any time. Your privacy and comfort is respected and prioritised.

  • My Rights - I give consent for clients to take photos/videos of me painting or posing with them/their child. You are welcome to share these with family or online. Tagging/naming me in posts is appreciated but not required.
My image may not be altered/distorted, used in a defamatory way, or used for profit.

If you have any other questions or special requests feel free to ask via the website and I will see if I can accomidate.
